Secretariat and documents processing
* Maintain executive’s agenda and assist in planning appointments and meetings
* Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, etc.)
* Facilitate the accurate and timely writing, editing, and preparation of documents from draft to distribution
* Maintain electronic and paper records ensuring information is organized and easily accessible

Building management
* Organize / supervise building maintenance from A to Z
* Point of contact with the other building occupants
* Travel organization : plan and book travel arrangements: trains, flights, hotels, drivers, …Make bookings and take care of check-in for travelers and keep track of team’s travel preferences, loyalty accounts

Administrative, personal and IT support
* Provide administrative support to both management and the team
* Support standard IT software and hardware maintenance procedures

* Greet and guide visitors, delivery persons, ensure building security protocols
* Answer phone, direct calls, take messages where appropriate
* Manage printer levels, order stationary & catering supplies

  • Certificate in office administration or other suitable education complemented by a proven experience.
  • Knowledge of IT: very good knowledge of software such as Word, Excel, PowerPoint, etc.
  • Languages: excellent command of French and English
  • 3-5 years of experience in a similar position
  • Some corporate experience is a plus
  • Seeking small team & family office environment
  • Attention to detail and ability to manage deadlines
  • Strong multi-tasker, adaptable
  • Strong presentation / communication skills
  • Initiative taking, positive individual
  • Flexible, occasionally (a few times a year) work on the weekend (for example, to issue boarding passes if a team member is traveling).
  • Excellent personal relations and autonomy
  • Desire to review & improve processes and organization
